Instagram lead capture

Mimiao can automatically turn Instagram DMs into leads in your pipeline. As soon as someone writes to your DMs and leaves a contact — a phone number, an email or a Telegram handle — the system creates a lead card, tags the “Instagram” channel and notifies the responsible people. Inquiries no longer wait in the DMs until evening.

The connection is currently rolling out to all schools gradually. If the tab isn’t visible in your workspace yet, it’s coming soon.

What you need

• The school’s Instagram account (professional / business type).
• The permission to manage CRM settings in Mimiao (the owner always has it; it can be delegated to an administrator).
• A Facebook Page is not required — the connection uses the official “Business Login for Instagram”.

How to connect

1. Open Settings → Leads → the “Auto-creation” tab.
2. In the Instagram block, click “Connect Instagram”.
3. In the Instagram window, sign in to the school’s account and confirm access.
4. Back in Mimiao, the block shows the connected account: @your_school and the automatic access-renewal date.

The access token renews itself. If Instagram ever drops the link (for example, after the account password changes), the block shows a “Reconnect” state — no inquiries are lost in the meantime; messages simply wait until you reconnect.

How leads are created

A lead is created when an incoming message contains a reachable contact:

• a phone number — e.g. “097 123 45 67”;
• an email — e.g. “[email protected]”;
• a Telegram handle — e.g. “@maria_k”.

The lead card lands in the active pipeline with the “New inquiry” status, the “Instagram” channel and the message text in a note. The owner, the administrator and the responsible manager get a notification, and a badge appears on the lead board.

A message without a contact (“Hello!”, “How much is it?”) never becomes a lead — otherwise the pipeline would fill up with greetings. Reply in the DMs as usual; the moment the person leaves a contact, the lead is created automatically.

The exact format lives in settings

The Instagram block shows a live example of a message the system is guaranteed to parse (e.g. “Anna Kovalenko, +380 50 123 45 67”). When in doubt, check it — it always matches the current parser version.

How to disconnect

In the same block, click “Disconnect” and confirm. Leads that were already created stay in the pipeline — disconnecting only stops new ones from appearing.
